- Research Information: Details about your research study that you provide through our questionnaire, including methodology, results, and contextual information.
- Contact Information: Your email address if you choose to receive your analysis report by email.
- Publication Information: Digital Object Identifiers (DOIs) and related publication information that you voluntarily submit.
- Microgrant Request Information: If you request a microgrant, we collect your salutation, name, institution, postal address, country, institutional email address, mobile number, Null Compass Code, DOI, and any eligibility, authorship, or research-verification information or evidence you provide.
- Payment Administration Information: If a microgrant is approved, we or our payment provider may collect the information needed to arrange, verify, record, and administer the payment. Payment details are not collected through the public microgrant request form.
- Technical and Usage Information: When you use our website, we may automatically collect limited technical and usage information, such as pages viewed, referring sources, approximate location derived from network information, browser and device type, and interactions with key website features. We use this information to understand how the website is used, measure the effectiveness of our outreach, and improve our services.
2. How We Use Your Information
We use your information for the following purposes:
- To provide our AI-powered analysis and recommendations for your research
- To generate abstracts and publication strategies based on your research information
- To send your analysis report via email if requested
- To administer the microgrant program, including verifying identity, authorship, eligibility, publication details, and that the reported research was genuinely undertaken
- To contact applicants about requests, evidence, decisions, and payment administration
- To prevent duplicate, ineligible, or fraudulent microgrant requests and maintain program and accounting records
- To track the success of our tool in helping researchers publish negative findings
- To improve the understanding of the dark data that is sitting out there unpublished and undiscoverable.
- To improve and optimize our services and user experience
- To detect and prevent fraudulent activity and ensure the security of our platform
3. How We Protect Your Information
We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
4. Information Sharing and Disclosure
We do not sell your personal information to third parties. We may share your information in the following situations:
- Service Providers: We may provide the information needed for a particular function to providers that support website hosting, data storage, website analytics, email delivery, AI-assisted analysis, DOI verification, security, and other operational services. If a microgrant is approved, relevant applicant and payment information may be provided to Wise or another approved payment provider to administer the transfer. These providers process information for the services they supply and are subject to applicable contractual or legal obligations.
- Program Administration: Authorized CBMRT personnel and advisers involved in eligibility, authorship, research verification, fraud prevention, decisions, recordkeeping, or payment administration may access the information needed for those purposes.
- Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities.
- Consent: We may share your information with your consent or at your direction.
5. Aggregated Research Data
We may anonymize and aggregate research information to create non-identifiable datasets for research on publication bias, analysis of negative findings, and improvement of scientific publishing practices. This aggregated data does not contain personal identifiers and cannot be traced back to individual users.
6. Data Retention
We retain information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing the service, allowing later DOI submission, administering and auditing the microgrant program, preventing duplicate or fraudulent requests, resolving disputes, and meeting legal, tax, and accounting obligations. Different records may therefore be kept for different periods.
Research submissions and their unique codes may be retained so a DOI can be submitted later. Microgrant applications, verification material, decisions, communications, and payment records may be retained for program administration, audit, fraud-prevention, dispute, and legal or accounting purposes. When information is no longer required, we will delete or anonymize it where reasonably practicable, subject to any continuing legal or recordkeeping obligation.

8. Essential Cookies and Website Analytics
We use essential cookies to operate certain parts of the website. These cookies support functions such as maintaining questionnaire progress, protecting forms against misuse, and keeping authorized administrators signed in. They are necessary for these features to work and are not used for advertising.
We also use privacy-focused website analytics to understand general usage patterns and whether important website workflows are completed successfully. This may include page visits, referring sources, browser and device information, and events such as opening the questionnaire, reaching a named questionnaire stage, completing the questionnaire, first viewing fixed, named sections of the Microgrants page, requesting an emailed report, submitting a microgrant request, or submitting feedback.
Microgrants reading milestones record only the fixed section name, at most once per section during a page visit; they do not record exact scroll position. Our analytics events do not include questionnaire answers, DOI values, email addresses, names, Null Compass Codes, free-form feedback, or other information entered into forms. The current analytics system does not use analytics cookies or track visitors across unrelated websites.
Analytics events are included in exports for up to 90 days, and older event copies are removed during routine operation. We keep this first-party copy so authorized personnel and read-only automated tools can review aggregated website usage. A random identifier held only in the browser tab is converted to a one-way value before storage to estimate anonymous sessions; neither form contents nor the browser identifier are included in analytics exports.
You can restrict essential cookies through your browser settings, although doing so may prevent the questionnaire, forms, or administrative features from working correctly.
